Purpose
The Yard & Asset Coordinator / Data Entry is responsible for the control, tracking, documentation, and accountability of all customer and company assets entering and leaving the facility.
This position serves as the primary owner of inventory management, asset intake and release, inventory issuance, cycle counts, inventory accuracy, and asset traceability. The Yard & Asset Coordinator works closely with operations, technicians, administration, and leadership to ensure customer assets, inventory, and materials are properly documented, tracked, and accounted for throughout the inspection and repair process.
The ideal candidate is highly organized, technology savvy, detail-oriented, and capable of managing large amounts of inventory and asset information with a high degree of accuracy.
Essential Duties and Responsibilities
Duties include, but are not limited to:
Asset Intake & Receiving
- Receive customer assets arriving at the facility
- Verify quantities, descriptions, serial numbers, and asset condition upon receipt
- Create and maintain asset intake documentation
- Photograph and document incoming assets as required
- Enter asset information into company tracking systems and databases
- Create work order intake documentation and maintain traceability
- Coordinate asset staging and identification throughout the inspection process
Asset Release & Shipping
- Manage release of customer assets upon job completion
- Verify all assets are properly accounted for prior to shipment or customer pickup
- Prepare shipping documentation and asset release records
- Coordinate loading and unloading activities
- Maintain chain of custody and asset traceability records
- Ensure accurate tracking of all outgoing customer assets
Inventory Management
- Maintain ownership and accountability of facility inventory
- Receive and record inventory purchases and stock replenishments
- Monitor inventory levels and communicate reorder needs
- Organize storage locations and maintain inventory accuracy
- Perform cycle counts and physical inventory audits
- Investigate and resolve inventory discrepancies
- Ensure inventory records remain accurate and current
Inventory Issuance & Control
- Issue inventory, materials, consumables, and parts to shop personnel
- Track inventory allocation to jobs and work orders
- Maintain records of inventory usage and consumption
- Monitor inventory returns and material reconciliation
- Prevent inventory loss through proper controls and documentation
Systems & Asset Tracking
- Maintain accurate asset and inventory records within company systems
- Utilize software platforms such as iM3, IronTrac, Tessalink, Microsoft Office, and other company systems
- Generate reports related to inventory, assets, and material usage
- Support continuous improvement of inventory control and asset tracking processes
- Maintain electronic and physical records in accordance with company procedures
Yard & Facility Organization
- Maintain an organized, safe, and efficient yard, warehouse, and storage environment
- Properly stage incoming and outgoing assets
- Ensure all assets remain clearly identified and traceable
- Support warehouse organization and housekeeping initiatives
- Assist with facility inspections and operational readiness activities
Safety & Compliance
- Follow all company safety policies and procedures
- Safely operate forklifts and material handling equipment
- Participate in safety meetings and required training programs
- Report damaged equipment, inventory discrepancies, and safety concerns
- Support company quality, operational, and compliance requirements
Qualifications
Required
- High School Diploma or GED
- Valid Driver’s License
- Strong computer and technology skills
- Proficiency with Microsoft Excel, Outlook, Teams, and business software
- Strong attention to detail and organizational skills
- Ability to maintain accurate records and documentation
- Ability to manage multiple priorities and deadlines
- Strong communication and problem-solving abilities
Preferred
- 2+ years of inventory, warehouse, logistics, asset management, or operations experience
- Experience with inventory management software and database systems
- Forklift certification or ability to obtain certification
- Inventory management training
- Experience in industrial, manufacturing, oilfield, or service-based operations
- Basic understanding of NDT operations and flowline equipment
